Service Planning 101: 3- Songs and Files

 

Service Planning offers a library in which to store songs, files, and content to use or reference for events in the future. To start, here's how to add songs to the library. Click to expand the Library tab, then click Song Files. From the buttons on the right side of the screen, click Add Song. Enter all the information for the song to be added. This can include the default key, beats per minute, duration, and more. Adding the song lyrics will allow you to rearrange the song order by using the Song Map feature. If you're using an integration with Song Select by CCLI, you can import the lyrics easily from their database. Once all the details are added, click Save. Importing songs can be an easier way to bring songs into the song library instead of adding them one at a time manually.

From the Songs File page under the Library tab, click Import. If you have a Song Select by CCLI integration, you can browse and import from their database. If you'd like to import using a CSV file, you can download the import template and follow the instructions while filling out the file. When you have all the songs in your CSV file, upload the file. Next, confirm the songs that you would like to import and find. Finally, click Import. These songs are now available and will appear in your songs library.

If an import is not an option, Service Planning has over 1,500 popular worship songs that can be brought into the song library and used for events. From the Songs File page under the Library tab, click SP Popular. Here, sort through and manually select the songs you wish to add. The number of songs selected will be shown at the top of the screen. To add each popular song available, navigate through each page and select each song individually. Once all desired songs are selected, click Add. Confirm the list of songs to add is complete or remove unwanted songs from the list, then click OK. These confirmed songs will now be available in the songs library.

After using songs in events, the songs library offers usage statistics for specific songs and visibility into what songs have been recently used. Viewing the song usage statistics will show the top songs used at either a specific location or all locations and the most recent instance a song was used for a specific range of dates. Recent songs will show all of the songs that have been used at one or all locations listed by the date they were used. Along with songs, upload and store different file types in Service Planning. These uploads will be kept in either Files or Other Content.

Service Planning offers unlimited storage space for uploaded files, and files can be accessed by other planners and a limited number of helper accounts. Files can be dragged and dropped into the upload area and will begin uploading automatically. When the file has finished uploading, click Done. Clicking File Access Reports will allow you to search and see who has accessed files during a range of dates. The Other Content library allows you to upload usable content, such as prayers, response text, or video countdowns. Add content type categories to easily group your content together. Search through existing content and search to see when specific content was last used.
